Instead of: "Write a follow-up email to Maria Rodriguez thanking her for attending our mental health workshop for domestic violence survivors at the Elm Street shelter."
Do this: "Write a follow-up email thanking a workshop participant for attending. The workshop was about mental health support for people who have experienced trauma. Keep the tone warm and professional."
The AI can still help you with the task—drafting clear, compassionate communication—without processing any identifying information about a specific person, their location, or the precise nature of their circumstances.
Instead of: "Analyze this case management data for patterns." [uploads spreadsheet with client names and personal details]
Do this: Remove all identifying information from the data first—replace names with ID numbers, remove addresses and specific dates, aggregate demographic categories—then ask AI to help identify trends.
This isn't perfect. Even anonymized data can sometimes be re-identified through patterns. But it's substantially safer than entering raw client information into systems where you can't fully control what happens to it.
Building Clear Internal Guidelines
Every nonprofit exploring AI needs clear, written policies about what information can and cannot be entered into AI systems. This shouldn't be a vague "be careful" but specific, actionable rules that any staff member can follow.
Your guidelines should address:
What NEVER goes into AI systems:

Not all AI tools handle data the same way. When evaluating platforms, nonprofits should ask specific questions:

Is our data used to train future models? (You want the answer to be "no")
Can we delete data after using the service?
Where are servers located, and what privacy laws apply?
Who has access to our inputs and outputs?
How long is data retained?
About security:
What encryption is used?
How is access controlled?
What's the track record on breaches?
What happens if there is a breach?
About compliance:
Does this tool meet HIPAA requirements if you handle health information?
Does it comply with state data privacy laws?
What about GDPR if you work internationally?
Can you get a Business Associate Agreement if needed?
About transparency:
Does the company publish clear privacy policies?
Can you talk to actual humans about privacy questions?

Training Staff on Privacy-Conscious AI Use

Easy ways to anonymize: Provide templates, checklists, or scripts that make it simple to strip identifying information before using AI tools.
Regular updates: AI tools change quickly. Privacy policies need regular review, and staff need refresher training as new tools emerge or policies evolve.
Balancing Protection With Utility
The goal isn't to make AI use so cumbersome that staff avoid it entirely—that just drives usage underground where there's no oversight. The goal is to make safe usage straightforward and unsafe usage obviously wrong.
This means:
Clear, simple rules that don't require legal interpretation
Approved tools that staff can use confidently
Easy anonymization processes that don't add hours to workflows
Quick access to guidance when questions arise
Culture of "ask first" rather than "apologize later"
It also means accepting that some AI applications simply aren't compatible with your privacy requirements, and that's okay. Not every tool is right for every organization.
When Privacy Concerns Mean "No"
Sometimes the answer is that a particular AI application is too risky for your context, no matter how useful it might be. That's a legitimate conclusion.
If you serve undocumented immigrants, you might decide that the risks of any data entering systems potentially accessible to enforcement agencies outweigh any efficiency benefits.
If you run a domestic violence shelter, you might conclude that location data is too sensitive to ever process through AI tools, regardless of anonymization.
If you provide mental health services, HIPAA requirements might make AI use more complex than it's worth for certain applications.

Aligning AI Use With Broader Privacy Practices
AI privacy policies shouldn't exist in isolation. They should align with and reinforce your organization's existing commitments to protecting client information, maintaining confidentiality, and respecting dignity.
If your intake forms explain how you protect client information, your AI policies should reflect those same principles. If you have protocols around who can access case files, similar protocols should govern who can use AI tools for what purposes. If you've committed to not sharing client information with other agencies without consent, that commitment extends to not entering that information into AI systems.
Consistency matters. Staff should be able to apply the same privacy-conscious thinking across all their work, whether they're using a database, sending an email, having a phone conversation, or using an AI tool.
The Bigger Picture: Dignity and Power
At its core, privacy protection in nonprofits isn't just about compliance or risk management. It's about dignity, power, and trust.
Your clients—especially those from marginalized communities—have often experienced having information about them collected, used, and weaponized without their consent or knowledge. Every time they share information with your organization, they're making a choice to trust you with something that could harm them if mishandled.
That trust is sacred. It's the foundation of your ability to do effective work. And AI use that undermines that trust—or that puts people at risk—is not worth whatever efficiency or insight it might offer.
Building strong privacy practices around AI is how you honor that trust. It's how you demonstrate that your commitment to dignity and respect isn't just words—it's embedded in every system and process you use, including the newest ones.
Creating a Privacy-First Culture
The most robust AI privacy policy in the world won't protect people if staff don't follow it or if leadership doesn't prioritize it. That's why culture matters as much as rules.
A privacy-first culture means:

Privacy questions are welcomed, not seen as obstacles
Mistakes are learning opportunities, not punished
Regular discussion keeps privacy visible
Client impact is centered in every technology decision

Moving Forward With Clear Eyes
You can't eliminate all privacy risks—not with AI, and not without it. Traditional nonprofit operations involve privacy challenges too: paper files that could be stolen, emails that could be hacked, conversations that could be overheard, databases that could be breached.
